Each member has permissions against their member record which controls whether they can access certain sections of the Members Area.
By default, when a member is created they have all permissions set.
Typically a member can have all permissions enabled unless there is a specific requirement for them to not have visibility of a section or sections.
You may have certain member types that should not access the Directory, or view Events, which this is intended for.
NOTE: You may find that you want these member types to be able to see these sections, such as Events, so that they may have visibility of them, but not be able to book.
In this case the use of Segments on tickets in Events is an alternative method of restricting the member from booking, rather than completely removing the Events access for those member types.
See the Creating Segments With The Advanced Search article for details.
Logging
If a members permissions are modified then an activity log entry is created, similar to below:
It will also display which admin user made the update.
Permissions
A members permissions can be found by going to the members record and viewing the Permissions tab, as shown below.
These permissions may be individually toggled as required for a member (using the Save Changes button to set the permissions), details of what each permission controls is shown below.
- Permissions override all other access, such as being an active member of a committee
- If a permission is unticked then the member must log out and back in to the Members Area for the new permissions to take effect
- If a permission is unticked then the Members Area layout reflects these changes, for example if the Events permission is unticked then the Events card on the Dashboard is not displayed, and is also removed from the navigation menu
An example of a member with the Events and Directory permissions unticked is shown below:
Even if a member has a direct link to the restricted section, for example an event or a committee, they will not be able to access it.
Instead they will be shown something similar to below:
Committees
Control whether the member can see the following:
- The Committees page
- The Committees navigation menu link
- The Committees card on the Dashboard of the members area
- The Committees related calendars and associated meetings on the Calendar page
NOTE:
- Even if a member is an active serving member on a Committee, unselecting this permission will override them from viewing their committees
Directory
Control whether the member can see the following:
- Directory section (including viewing another members record)
- The Directory navigation menu link
- The Member Search function
- The Who's Attending section for an event (if enabled in the event)
NOTE:
- A member may still view their own profile, if configured for your client
- If Directory access is disabled but Committees permissions are enabled then the member will still see the members on a committee, but cannot click to view their public profile
Donations
Control whether the member can see the following:
- The Donations page within the Members Area
- The Donations navigation menu link
NOTE:
- A member may still access the public Donations page if they are not logged in to the Members Area, as the public Donations page does not enforce member permissions
Events
Control whether the member can see the following:
- The Events section
- The Events navigation menu link
- Individual Events
- The Events related calendars and associated meetings on the Calendar page
- The Events card on the Dashboard
NOTE:
- A booking for the member may still be made in the Admin Portal, but the member will not be able to view the event the booking was made for
Pages
Control whether the member can see the following:
- The News & Updates section (may be titled differently for your client)
- The News & Updates navigation menu link
- The News & Updates feed on the Dashboard
- The Company Information section (may be titled differently for your client)
- The Company Information navigation menu link
- The Company Information card on the Dashboard
NOTE:
- Both of these sections fall under the Pages scope, as the content they display are pages assigned to different areas
Shop
Control whether the member can see the following:
- The Shop page (products)
-
The Checkout page
Calendar
There is no specific Calendar permission as the Calendar is built by retrieving data against calendars, which can be set against either a Committee Meeting or an Event.
If only one of either Events or Committees is restricted for the member then the Calendar page is still accessible, but it will only show the calendars and feed for the section that they do have access to.
For example, if they have Events permission unselected, but Committees permission selected, then they will only see the calendars and associated meetings for those calendars, but no events.
If both Events and Committees permissions are unselected then the Calendar navigation menu link is not displayed, and if they navigate to the Calendar page manually by its URL then they are shown a message that they do not have access to this section.
