The Events section allows for events to be created and managed for your organisation, allowing tiered ticketing, location maps, times and details for each event.
NOTE: Calendars are used for both Events and Committee Meetings, so that they can be displayed in the Members Area Calendar.
Each event requires linking with an appropriate calendar before it can be saved, therefore if you do not already have one or more calendars created you must do so before creating an event.
To do this select the Calendars subsection from the left hand panel which will then display all calendars currently created.
Create a Calendar
To create a new calendar, press the New Calendar button in the top right of the screen.
You will then be given a new window to add the calendar name and various options for the calendar.
Calendar Name
Add an appropriate name for the calendar that is descriptive of its role, eg External Events, Company Events etc.
Bcc Email Addresses
You may wish for specific events to Bcc certain people, this can be done by adding the email addresses to a calendar and using that calendar for the event.
Set which email addresses should be Bcc'd on emails to the member for this calendar in this field.
Zero or more email addresses may be added, separated with a comma or line break, no spaces.
Colour
Click inside the Colour box to enable the colour picker, You can also enter in a valid HTML Hex colour code.
This calendar is used for Committee Meetings
If the calendar is to be used for Committee Meetings then this checkbox should be ticked.
This will then remove this calendar from the Members Area Events list filter menu.
If this option is ticked the then payment methods checkboxes are reset and hidden.
Select which payment methods can be used with this calendar for event bookings
Clients may have several payment methods for members to use when making a booking, such as credit or debit card (Stripe), or offline methods such as cheque or bank transfer.
You may have multiple Stripe accounts and have some events that require payments to be made to a specific account, or need to restrict which methods a member can select.
Select the payment methods appropriate for this calendar.
At least one payment method should be selected to allow for bookings to be made.
When an event is created and the calendar assigned to it then only those payment methods chosen will be shown to the member for bookings.
An example of a completed calendar is shown below.
Once completed press the Create button to save the new calendar.
The new calendar will be saved and you will receive a notification that it was successfully created.
The new calendar will now be shown in the list of calendars.
Manage Calendars
To manage an existing calendar, such as to change its name or colour, press the Edit button next to it. This will allow you to update the options for the calendar.
Once you have finished updating the calendar details, press the Update button, upon successful update you will receive a confirmation message in the top right of the screen.
The Calendars page will update to reflect the changes made.
