Memb.rs supports exporting event attendees in a format that can be easily imported in to the Perfect Table Plan application.
This guide will give details on how to import the event attendees in to Perfect Table Plan.
Open the event that you wish to export the attendees from.
Select the Attendees or Bookings tab, which lists all attendees individually (grouped by member).
Shown at the top of each list is a Perfect Table Plan dropdown menu.
Pressing this dropdown menu will show options
Pressing the Export for Perfect Table Plan button will initiate an export of the attendees, your browser will ask you to download a CSV format file, save this file to your computer.
Open Perfect Table Plan, you will see a screen similar to below.
Drag and drop the exported attendees CSV file on to Perfect Table Plan, this will open the Import Data window which will allow the exported data to be prepared for import.
Choose the following options:
- File type of custom
- Ignore first 1 (header) rows
In the first column row will show a property row name and on each column will be an option to select what each row maps to, such as first name, last name etc.
By default this is set to <ignore> but can be changed by selecting the field dropdown menu.
For each column you wish to import change the property to match that of the column data, such as First name(s).
NOTE: The following Memb.rs fields are named as such in the spreadsheet
Postnominals is Suffix(es)
Dietary Requirements is named Special req.
Booking ID is named Group
Some columns in the exported data do not have a direct default field in Perfect Table Plan, such as Middle name(s) and Preferred name.
Depending on your version of Perfect Table Plan you may add these as custom fields by selecting the custom field in the row property dropdown menu if you wish to import these rows.
These should be added as a Type of Text in the Custom Fields window, as shown below.
An example of the updated property names is shown below
Once each column has its property selected press the Next button at the bottom of the screen.
This window will show a review of the data you will be importing.
Press OK to complete the import.
If you have used the custom import option then a dialog window will appear asking if you wish to save the import mapping so it can be used again in the future.
Select Save to save the import mapping, giving it an appropriate name.
Press OK to save the mapping.
By saving the import mapping each time attendee data is imported to Perfect Table Plan the import mapping can be selected using the File Type dropdown menu on the import window, which will configure the row properties accordingly.
The Guests window will be shown, listing the attendees, grouped by their Booking ID (imported as Group).
